Privacy Policy

This policy covers tmlworkspace.com, the TML Workspace dashboard at app.tmlworkspace.com, Workspace mode in the TML phone app, and the report and check-in pages for Workspace properties. It is published by The Maintenance Line LLC, a Florida limited liability company based in Sarasota, Florida (“TML”).

1. Two roles

  • For customer data, TML acts for the Workspace customer. When a Workspace customer (for example a concierge, home watch company or property manager) and its users put information into TML Workspace, including reports from residents, owners, guests and cleaners, that information belongs to the customer. TML processes it only to provide the software to that customer. If you reported a problem or logged a cleaning at a Workspace property, contact the company that manages that property about your information. We will help them respond.
  • For our own business information, TML decides how it is used. This covers website visitors, early-access requests, and customer account, billing and support information.

2. What we collect

3. How we use it

To provide, secure and support TML Workspace; to send sign-in codes, reminders, alerts and notices (under the customer’s name and, if set up, from the customer’s own email domain); to bill customers; and to follow the law.

4. What we never do

  • We never sell personal information or use it for advertising.
  • We never use a Workspace customer’s data to market to that customer’s clients, property owners, residents, tenants or vendors, including for TML’s own full-service business.
  • We don’t share one customer’s data with another customer. Each customer’s vendor list is private to that customer.

5. Who we share it with

  • The Workspace customer the data belongs to, and the users it authorizes.
  • Service providers that help us run TML Workspace, under confidentiality and security terms: our web hosting provider; Google (email sending and business accounts); Stripe (payments); a text-message provider, if texts are sent; Cloudflare (domain, network and security services); and Apple and Google (push notifications and app distribution).
  • When the law requires it, or to protect people’s safety or our rights.
  • If our business is sold or reorganized, to the new owner under this policy.

6. Cookies

We use cookies needed to sign in to the dashboard and to protect public forms from spam, plus a language cookie. We don’t use advertising cookies.

7. How long we keep it

We keep customer data while the account is open. Before an account closes, its Admins can ask us for a copy of their data. After an account ends, we delete customer data within a reasonable time, except copies in backups (deleted on our normal backup cycle) and records we must keep by law, such as billing records. Customers can delete individual records themselves at any time. Links to check-in photos expire after 24 hours.

8. Your choices

  • Delete your login in the app or dashboard. This removes only you; the customer’s data stays. A company’s only Admin must name another Admin first or ask us to close the account.
  • Customers can ask for a copy of their data and delete it as described above.
  • Anyone may email hello@tmlworkspace.com with privacy questions. Requests about a customer’s data are passed to that customer.

9. Children

TML Workspace is for businesses. We don’t knowingly collect information from children under 13. Report and check-in forms ask for photos of the problem or empty room only.

10. Security

We use encrypted connections, one-time email sign-in codes, separation between customers, limited TML staff access, and signed, expiring photo links. If a breach affects personal information, we will notify affected customers and people as the law requires.

11. Changes and contact

We will post changes here with a new date and email customer Admins about material changes.
